In accordance with the requirements of personnel records management, an order for the enterprise appoints an employee responsible for the registration, maintenance and storage of labor books of all employees of the organization.
Sometimes a person has a need forfor any reason, to provide a work record for confirming employment in one or another organization. According to the approved rules, the responsible employee of the enterprise has no right to give this document to the employee before the dismissal. There is only one way out of this situation. An employee can be issued a copy of the work record card, which completely replaces the original and can be left at the place of demand. In order to receive it, the employee is obliged to write a statement in an arbitrary form asking him to give him a copy. And in the application it is necessary to indicate the reason for which it was necessary to have a copy of the work book. For example, a person wants to take a job in another company for part-time work, but the work record book of any employee must be stored at the main place of his work; therefore, instead of the original, a copy of the workbook must be issued within three days. This is done quite simply. On ordinary A4 sheets, all the completed pages of the original are photocopied, relating to the work information, including the cover page. Pages are stapled together and stitched. On the last page an additional entry is made in the information about the work of the following content: "It is working till now". Records are assigned to the next number, the date of issuing a copy of the work record is indicated, and below is the signature of the responsible employee with the decoding of the post and surname. A copy of the work book is almost ready. But that is not all.
Each page of the copy must becertified. For this purpose, the inscription "Copy is true" is made. Under it is the signature of the employee, who assured the copy with the decipherment of the post and surname. It does not have to be the head of the enterprise. The head of the human resources department or a specialist who manages personal records may certify. The ready-made inscription must necessarily put a round seal of the company-employer. All stitched pages are numbered, and on the last one there is an inscription "Stitched, numbered and sealed with" so many "pages". This certified copy of the employment record fully confirms the original and can be provided on demand to any organization. Such a document is often requested by banks when making loans to confirm the client's solvency, but this reason is not the only one.
Recently, people began to travel more oftenborder. The occasion is very different: an invitation to visit, business trip, rest and so on. For traveling outside the country, a citizen must necessarily obtain a foreign passport. In some countries it is not necessary, but we still need it. For registration of the passport in the Federal Migration Service it is necessary to provide a whole package of documents, among which there must be information about the place of work. Now, when registering a new generation passport, all working citizens fill out a certain form application for the issuance of a foreign passport, one of the points of which prescribes all their work activities for the last ten years. The application is certified at the work place by a seal in the personnel department. The seal is valid for one month. Non-working citizens perform the same procedure, and instead of certifying the data, the specialist of the human resources department is provided with the original work record book. Under the new rules, a copy of the work book for a passport is not required at all. This adds work to the citizen himself, but reduces the workload of the company's HR department and streamlines the migration service workflow.
